2025-26 Club Membership Renewal Requirements

Clubs must submit the documentation below to hdsa@hdsasoccer.ca and pay the annual registration fee by March 31st of each year to continue their membership with Huronia District. 

1.Detailed information re: current elected board membership (position, name, phone number, address, email) is to be provided to HDSA within 7 days of the Clubs AGM. HDSA is also to be advised of any changes to the board membership that occur after the Club’s AGM. Please use Club Executive Renewal Form attached to the right.

2.Clubs shall also provide the following documentation by March 31st each year:

Updated constitution (if changes were made). 

Minutes of last AGM

Annual financial statements as per ONCA Requirements:

ONCA introduces a new process for reviewing a corporation’s financial records called the “review engagement.” This new process is less extensive than an audit and, as a result, generally less expensive.

Whether or not your club can use a review engagement over an audit or waive the need for either depends on revenue per financial year and whether or not you are a public benefit corporation. The following chart summarizes what type of financial review your club may need.

*Approval to waive an audit or to waive both an audit and review engagement requires an extraordinary resolution, which is approval from at least 80 per cent of the votes cast at a special members' meeting where there are enough members to take a vote or if all voting members consent in writing.

Failure to provide the above documentation by March 31st will result in a fine of $250 and the club being deemed not in good standing. 

Clubs may request an extension of the March 31st deadline for financial reporting, provided the request is submitted by the Club Treasurer and includes a letter from the accounting firm indicating the completion date. Requests will be reviewed by the HDSA Board of Directors and Clubs will be advised of the Board’s decision.

3. An annual registration fee set by the HDSA Board of Directors must be paid by each Active and Associate member - $50.00 per year, invoices to be sent to clubs at the end of the month. 

4. All Clubs are required to adhere to the Rules, Procedures and Policies of Ontario Soccer.
